We are currently seeking an anthusiastic and driven team player to join our HR and admin team as an

Administration Specialist in our Warsaw office. In this position, you will be responsible for ensuring information flow across the organisation, arranging and coordinating meetings and conference calls and managing invoices, payments and receipts in close cooperation with the finance department. 

What will you be doing

  • Generating a positive impression of our business by welcoming visitors in a friendly manner
  • Managing mail, shipments, printing and copying
  • Supporting the management board and other coworkers in administrative tasks including travel arrangements
  • Overseeing and ordering office equipment and supplies (such as printer, ink, toner, paper, groceries)
  • Preparing conference rooms for meetings and organizing catering
  • Ensuring proper circulation of documents, close cooperation with HR, legal and finance team, describing cost documents
  • Ongoing contact with the building administrator and cleaning service to ensure excellent organization of the office work

Job requirements

  • Working knowledge of Microsoft Office, including Word, PowerPoint, Outlook and Excel
  • Proficient Polish and communicative English as a must
